Kansas Authenticare/EVV FAQs

KS AuthentiCare is a requirement for all Home and Community-Based Service (HCBS) consumers and Direct Support Workers (DSWs). Your DSW will be required to start using the new telephone system. Please make certain that RCIL, or your FMS provider, has your correct telephone and/or cellphone number.

KS Authenticare starts on 6:00am on January 9th, 2012 for all HCBS Waivers Personal Services and Sleep Cycle support EXCEPT for Personal Services on the Physically Disabled(PD) and the Traumatic Brain Injury(TBI) waivers. Personal Services for the Physically Disabled(PD) and the Traumatic Brain Injury(TBI) waivers will begin Sunday March 4, 2012.

You need to complete a paper timesheet for January 1, 2012 through January 8, 2012 and send it to the Osage City office on January 9th. This will be your last paper timesheet.

If you arrive starting at 6:00 a.m. or later, use KS Authenticare to check in and out. If you start work before 6:00 a.m., include the entire time worked for that shift on the paper timesheet.

For example, if you arrive to work at 5:00 a.m. on January 9th and finish work at 7:00 a.m., include this time on your 1st through 8th paper timesheet and do not use Kansas AuthentiCare until the next time you work.

When you arrive at the consumer’s home you need to check in each day by calling 1-800-903-4676 from the consumer’s home telephone or consumer’s cell phone. You will need to be prepared to select from the list of services available. Please refer to the check -in/check -out instructions you received in the mail. Please consult the consumer you work for or contact the RCIL EVV Specialist for clarification of approved services.

Before you leave the consumer’s home you need to check out each time you work by calling 1-800-903-4676. You will need to enter the activity code(s) for each of the activities you performed. Activity codes were included with the EVV letter you received from RCIL.

As part of this change we will be changing from semi-monthly to weekly payroll. Time worked for December 16 – 31, 2011, will be paid on January 12, 2012. Time worked from January 1 – 7th, 2012, will be paid January 20, 2012. Time worked January 8-14, 2012, will be paid January 27, 2012 and so on.

No, we do not recommend that the consumers give the DSWs their beneficiary number. The system is asking for this information because the consumer’s phone number is not correctly entered into the KS Authenticare system. Please call an RCIL EVV specialist and give them the correct consumer phone number.

All consumers should have received information on a free cell phone program with their EVV letter.

Timesheets may be allowed for consumers that do not have landlines or cellphones as long as they complete and sign a form that verifies they do not have a phone number.

If DSWs have smartphones they may be able to check in and check out by using an application on the DSWs phone. Please call an RCIL EVV specialist for more information.

If consumers are married or live in the same household, they can use the same phone number. The system will ask the DSW which person they will provide services for. The DSW will need to check in for one consumer and then check out before working for the other spouse or consumer. For example, if the DSW is claiming 4 hours for the day; 2-for the wife and 2-for the husband. They will clock in and choose one person, complete the two hours and then clock out. They will then be able to check in on the same call for the spouse or other consumer. They will not be able to work for both without checking in and out for each one of them.

It depends. Worker ID’s are by provider not by consumer. DSWs will have one Worker ID for RCIL. The DSW will receive another Worker ID if they work for another provider agency.

1-877-929-7655: RCIL Toll Free Payroll Help Desk – Ask for RCIL EVV Specialist or select option 2. The EVV Specialist will be available between 8:00am and 4:00pm, Monday through Friday. If you have any problems or questions outside our working hours, please call in the next business day.

Follow the procedures similar to how it is currently being done on your timesheet. For example, if you normally provide intermittent care for 3 hours between the hours of 7:00 am and 5:00 pm you would now need to check-in at some time during that period and check out 3 hours later. You could check in at 7:00 am but would need to check out at 10:00 am.

Check-in for the current consumer, then call an RCIL EVV specialist and let them know the consumer you were serving and the time you left the consumers home.

Check-in times are posted at the beginning of the call. Check-out times are posted at the end of the call.

Weekly Payroll

As part of this change we will be moving from semi-monthly to weekly payroll in January. Time worked for December 16 through December 31, 2011, will be paid on January 12, 2012. Time worked from January 1 through January 7th, 2012, will be paid January 20, 2012 (Direct deposited into bank account on 20th, checks mailed on 20th). Time worked January 8 through January 14, 2012, will be paid January 27, 2012 and so on.

Time worked between January 1 – January 7 is due by the end of business on January 9 and every Monday thereafter. Any timesheets received after Monday will be processed with the next week’s payroll. For example, if you turn in a timesheet for Jan. 1- 7 on Jan. 9, you will get paid on Jan.20. If timesheets are received after Jan. 9, the earliest pay date would be Jan. 27.
